This privacy notice applies to the Kotivalmis website and to the processing of personal data through the website.

Purposes of Processing Personal Data

We process personal data for the following purposes:

• responding to contact requests and quotation requests
• handling renovation assessments, surveys and customer service
• managing and developing customer relationships
• managing contracts, assignments and invoicing
• monitoring the functionality, security and usability of the website
• developing the website with the help of analytics

Data We Process

We may process, for example, the following data:

• name
• phone number
• email address
• address or location of the renovation site, if provided by the user
• contents of a message or quotation request
• information related to a renovation, survey or assignment
• necessary information related to customer relationships and contracts

Website analytics may process technical usage data, such as page views, time of visit, pages used, link usage, browser, device type and other technical log data.

IP addresses are anonymised. Analytics are not used to identify individual visitors, profile visitors or target advertising.

Legal Basis for Processing

Depending on the situation, the processing of personal data is based on:

• the controller’s legitimate interest, such as responding to contact requests, managing customer relationships, ensuring website security and developing the service
• preparation or performance of a contract, when the matter concerns a quotation request, renovation assessment, assignment or customer relationship
• legal obligations, such as accounting and authority requirements
• consent, if consent is separately requested, for example for marketing

Processors and Recipients

Personal data is processed only by parties who have the right to process the data due to their duties.

The technical provider of the website analytics is TietoWare Oy. Analytics are implemented with the Matomo service at analytics.tietoware.fi.

Data may also be processed by other technical service providers, for example for website maintenance, forms, email, security or system functionality.

Data is not sold and is not disclosed to advertising networks.

Data Transfers

Personal data is primarily processed within the EU and the EEA.

Analytics data is not used for targeted advertising and is not disclosed to advertising networks. Data is not transferred outside the European Economic Area unless it is necessary for the technical implementation of the service and protected in accordance with data protection legislation.

Data Retention

Personal data is retained only for as long as necessary for the purpose of processing or for as long as required by law.

Data related to contact requests and quotation requests is retained for as long as necessary for customer service and for managing a possible customer relationship. Data related to contracts, invoicing and accounting is retained in accordance with statutory obligations.

Analytics data is retained only for as long as necessary to monitor and develop the functionality of the website. The retention period is determined by the settings of the Matomo service.

Rights of the Data Subject

The data subject has the right to:

• receive information on whether their personal data is being processed
• request access to their personal data
• request correction of incorrect or incomplete data
• request deletion of data
• request restriction of processing
• object to processing on grounds relating to their particular personal situation
• withdraw consent, if the processing is based on consent
